Pacific Coast Staffing has
partnered with one of the world's largest law firms with 1,000 lawyers in 19
offices worldwide in search of Two Corporate Legal Secretaries for their
San Francisco, CA office.
Responsibilities
·

Performs complex secretarial, administrative, word
processing and clerical support activities related to the specific work and
function of corporate attorneys and paralegals.
·
Works with attorneys and supervisor to assist in allocation of
work load.
·
Participates in on-the-job training of others.
·
Provides leadership to secretaries and others in corporate
procedures.
·
May provide leadership to project team.
·
Overtime may be required.
·
Ensures client service and satisfaction are
attained in all areas of the position.
Secretarial Support
·
From transcribing equipment, drafts, handwritten
notes, or oral instructions, types a variety of correspondence, reports,
memoranda and legal documents required by the attorneys/legal assistants to whom
assigned.
·
Proofreads, photocopies, assembles and distributes prepared
material as necessary.
·
Coordinates lengthy document production with Word Processing
personnel.
·
Keyboards or scans and revises a variety of documents.
·
Redlines documents as directed.
·
Originates correspondence as directed.
·
Reviews and routes incoming correspondence.
·
Anticipates response and provides drafts for
outgoing correspondence.
·
Guide Audit Response inquiries without
supervision.
·
Show advanced knowledge and understanding of
the preparation of engagement and opinion letters.
·
Show advanced knowledge and understanding of
preparation of business development letters.
·
Prepares, edits, proofreads and/or closes
daily timenotes as directed by assignments; may help create draft timenotes from
calendars and notes.
·
Under general direction from partner and
accounting personnel, edits, proofs and completes complex clerical procedures
relating to billing for clients; may assist in collection efforts.
·
Calendars due dates, speaking engagements,
meetings and deadlines.
·
Makes appointments and schedules interviews.
·
Creates and maintains files and indices.
·
Screens and routes telephone calls.
·
Receives and directs clients and visitors.
·
Coordinates travel arrangements with travel
agency and firm's Travel Coordinator.
·
Handles routine client/non-client inquiries
with little or no guidance
·
Performs research as directed.
·
Coordinates resources to ensure multiple and
complex tasks/activities are completed as required.
·
Provides guidance (i.e., mentoring) for new
employees.
Qualifications
 
·
Previous legal secretarial experience
essential.
·
Proficient in WORD; Outlook, and in essential
software programs related to functions (i.e., Carpe Diem, Elite, FileSurf,
AutoMat, Reserve Login, etc.).
·
Basic knowledge of Excel and PowerPoint.
·
Knowledge of searching procedures for SEC
filing information using EDGAR database; familiarity with editing and working
with SEC filing materials; maintenance of corporate minute books; knowledge and
understanding of due diligence process; creating and editing
stock certificates.
·
Advanced knowledge and understanding of
closings (i.e., labeling, signature pages, etc.) and creating closing binders
with little supervision.
·
Show knowledge and understanding of Blue Sky
work.
·
Ability to effectively manage and maintain
large, complex cases, including communication lists, distribution lists, service
lists, and mailing labels.
·
Ability to work under pressure and maintain
flexibility regarding work assignments.
·
Ability to work effectively with others
essential.
·
Excellent communication skills.
·
Typing speed of 70 wpm preferred.
·
Availability to work overtime and flexibility
regarding work schedule required.
